A full user is a user who has complete access to all functionalities and modules within the software. A full user is someone who actively uses the software to manage processes, view information, and make decisions. This means that a full user:

  • Can actively participate in the purchasing process, from order requisitions to invoice approval.
  • Has access to all core functionalities, such as:
    • Procurement management (requests, approvals, and order follow-ups)
    • Supplier and contract management
    • Warehouse and inventory management
    • Invoice processing and automatic matching
    • Real-time reports and analyses
  • Can manage personal settings and dashboards for a tailored overview.
  • Can collaborate with colleagues, suppliers, and other stakeholders within the platform.

For each full user, you receive 5 light users for free. A light user within the software has limited access to the platform and only uses specific functions, aimed at using, viewing, or submitting information, without the ability to fully manage processes. A light user is primarily intended for users who provide input, such as submitting purchase requests or requiring insight.

  • Submitting purchase requests: A light user can create and submit a procurement request for approval.
  • Viewing basic insights: Access to limited reports or dashboards to see the status of own requests or approvals.
  • Viewing invoices and documents: Read-only access to invoices, contracts, or other documents within the system.
  • Approving tasks: Depending on the role, a light user can approve certain tasks, such as a simple invoice or purchase request.

The number of users you need depends on how your procurement process is organized:

  • Centralized procurement: If your procurement processes are fully managed from a single location, you usually only need a few full users. These users manage the requests, approve invoices, and keep an overview of suppliers and budgets. Employees in other departments can, if necessary, make use of light users to submit requests or view information.
  • Decentralized procurement: In a decentralized organization, where multiple locations or teams handle their own procurement activities, several full users are typically required. Each branch or team can then manage its own process within the same system. Additionally, you can deploy light users for employees who only need limited access, such as submitting requests or viewing contracts.
