Goedhart digitizes the processing of incoming invoices
Goedhart, franchisee of Intergamma and operator of multiple Gamma and Karwei stores, digitalised her creditors process. Qobee integrated the digital invoice processing platform of Factuurportal and ensured optimal synergy between both. Goedhart can now process incoming invoices faster and more efficiently, has better visibility of her cash flow, and saves costs.

Goedhart previously processed incoming invoices from its suppliers manually: invoices arrived digitally, were printed, manually posted and stamped, scanned, and then submitted for approval. Goedhart wanted to digitise and streamline this process. "We aimed to phase out all manual activities and ensure that invoices are received digitally and processed automatically," says Raymond Datema, Head of Building Materials Administration at Goedhart. "Anchr and Qobee, our trusted software suppliers of our financial software and our POS and store systems for years, provided the ideal solution," adds Marco Van Driel, Financial Director at Goedhart.

‘Thanks to our strategic partnership with Factuurportal, we were able to offer Goedhart an appropriate solution, as Michel Petrusma, Sales Director Netherlands at Anchr, explains. ‘We integrated Qobee, the existing financial software of Goedhart, with the digital invoice processing platform of Factuurportal’. Thanks to the various modules and functionalities of Qobee, electronically submitted invoices can be booked and approved digitally with ease. Factuurportal was in turn integrated for the digital submission of invoices. Both systems now work together seamlessly.

"By linking Factuurportal to the existing financial software, Goedhart ensures that invoices are submitted digitally," explains Rob Klaver, director at Factuurportal. "This minimises the number of manual processes required when processing invoices." Raymond Datema sees numerous advantages: "Invoices are now processed more quickly and efficiently. As a result, suppliers are paid on time, and we always have a clear view of our cash flow because we have visibility into outstanding invoices and payment obligations." Additionally, the chance of human errors and mistakes is reduced," adds Marco Van Driel. "Internal control has also improved as a result. By sharing digital documents and having real-time insight into the approval process, we no longer deal with stray paper invoices and can communicate and collaborate more effectively." And by streamlining the process, we have been able to reduce administrative costs."
