Gerust Care Centre chooses billing and accounting from Qobee
Gerust Zorgcentrale, provider of among other things personal alarm services, was established in 2022 from a collaboration between CM Gezondheidsfonds and the Wit-Gele Kruis. With the founding came the need for a new common accounting and billing system.

Planning is key

From the shared goal of providing people with a better quality of life, CM Health Insurance Fund and Wit-Gele Kruis decided to join forces in 2020. Together, they established the new care centre. Gerust offers a comprehensive range of safe and innovative care supports aimed at helping people with care and support needs to live independently and self-reliantly at home. Today, the organisation has more than 40,000 clients and is thus the largest care centre in the country.    

The personal alarm: always someone ready to assist

The first service introduced by Gerust to the market is the personal alarm. 24/7, it allows a user to request help with just one press of a button. The alarm signal is received by the centre, and help is immediately arranged—either through professional assistance or via the customer’s informal carers. The goal is to guarantee the safety of people in need of care at all times. The personal alarm is available for both private individuals and care professionals who can rent the alarm devices.  

New centralised accounting and billing system

Prior to the establishment of Gerust, CM Health Insurance Fund and Wit-Gele Kruis each offered the personal alarm separately—and often separately per province—and each had their own accounting. With the creation of the unified care centre, there was a need to set up one shared accounting and billing platform. Because Wit-Gele Kruis Limburg and Flemish Brabant had previously collaborated with Qobee and were satisfied, CM and Wit-Gele Kruis also chose to partner with Qobee for this project. After initial discussions in July 2021, the project was officially launched. With a target date of 1 January 2022 for implementation, it proved to be a considerable challenge that Qobee was eager to undertake. An initial feasibility study was conducted, completed by the end of September 2021. This was followed by setting up the implementation and building the necessary interfaces.

Maximum efficiency

After months of hard work, the deadline was met. A new financial system was put in place. But what exactly does it do?

Within the software of the healthcare centre, all subscriber data is registered. Through the Qobee platform, this information is processed efficiently and Gerust can invoice its users, currently around 40,000. The platform reads data via APIs, checks for any applicable discounts for Gerust customers connected to CM (also via API communication), and handles the distribution of digital invoices via email. The printing of invoices is managed by an external supplier.

Furthermore, Qobee tracks the payments and maintains a general accounting. Here, the necessary reports can also be requested, such as a report on the number of subscribers per province and the underlying generated turnover. An essential tool for gaining insights, monitoring, and adjusting where necessary.

Finally, at startup, it was also important that all active SEPA mandates from previous providers of the personal alarm were transferred. Qobee also facilitated this switch.

An excellent plan is essential, but it was mainly the good collaboration and the precise preparation by the staff of Wit-Gele Kruis Limburg that made this possible.
